Automatic refund (Stripe / PayPal) when an order is canceled or rejected by the restaurant.#1042

Currently, if an order is canceled or rejected by the restaurant and the customer paid with Stripe or PayPal, the refund has to be done manually. Instead, the refund should be automatic, without needing to go to the “Order Details / Actions / Refund” section.

It would be very convenient…

How about scenarios where a partial refund is required? Would a refund prompt suffice? How many refunds are you processing?

@CloudWaitress Admin Previously I used another system (GloriaFood). When an order was rejected or cancelled by the restaurant, the refund was processed automatically.

It worked like this with Stripe and PayPal: the customer placed an order, and Stripe or PayPal pre-authorized the amount until the restaurant either approved or rejected the order.

If the restaurant confirms the order: the amount is authorized.

If the restaurant cancels or rejects the order: the refund is processed automatically (in the case of a rejected order, the pre-authorization of the amount is simply released).

Currently I tried connecting Stripe as a payment method on your system: it is only possible to refund the full amount by pressing the “Refund” button in the “Actions” section. It does not give the option to partially refund the order. It can probably only be done through Stripe Connect, but most restaurants simply use Stripe.

If you run a test, you will see that by pressing the refund button the entire order is refunded, and there is no option to partially refund the order.

With GloriaFood we were always satisfied, also because of the automatic refunds. We didn’t have to manage them manually, especially because restaurateurs are often busy with other tasks and sometimes forget to process the refunds.

@CloudWaitress Admin Most likely we are all coming from GloriaFood or similar systems. Your system, Cloudwaitress, is an excellent platform if all these small things are fixed.
In Italy there are at least a hundred restaurateurs who would consistently use your platform, even paying the monthly subscription. Most restaurateurs are used to systems where, when an order is cancelled (or rejected), the refund is automatically sent to the customer.
The same applies to email notifications: to avoid continuous phone calls from customers, they need to be notified by email of any change to their order.

We can do this. We agree it is an improvement. There is a work arround with webhooks for email notifcations in the meantime. We will action the most critical ‘Gloriafood’ requests first and enhancements afterwards.

@CloudWaitress Admin are we all coming from GloriaFood by Oracle?
Yes, GloriaFood has many very interesting features. Currently GloriaFood will be discontinued by Oracle in a few months, so we are all looking for an alternative solution. Your platform seems really interesting; I am testing it as well

Is a plane full of Italian restaurateurs arriving? Ahahahah
Everything you are reporting is extremely useful.

@CloudWaitress Admin in the Stripe / PayPal settings, you could add an option to enable automatic refunds (by ticking a box) or not. This way the restaurateur can choose. Automatic refunds are still very convenient! Very often people can forget to do it

@CloudWaitress Admin I enabled PayPal as a payment method, but even in this case there is no option to refund a customer payment if the order is rejected or not cancelled. In that case, how can this be handled? Restaurant owners will not do it themselves by going into the PayPal dashboard. For example, in GloriaFood the order is also refunded automatically in that case.

Alternatively, could you add PayPal payments inside the “Online Payments” tab on the dashboard, so that in case they need to issue a refund they can do it by clicking directly there, without entering the PayPal dashboard (they will never do that, and eventually I would have to do it, so it’s better to prevent this issue if it can be solved)?
